Odoo or a custom CRM: how to choose
Odoo gives you a large set of ready-made apps; a custom CRM is built around exactly how your team sells. Here is how the costs work for each, and the signs that point one way or the other.
The short answer
Choose Odoo if your processes are close to standard, you want accounting, inventory and CRM in one package quickly, and you are happy to adapt your way of working to the software.
Choose a custom CRM if your sales process is what sets you apart, you need deep links to your own systems, or per-user fees will grow with a large team. You pay for the build once and own the result.
How the costs work
| Odoo | Custom CRM | |
|---|---|---|
| Licence | Per user per month for Odoo Enterprise (Standard or Custom plan); Community edition is free but has fewer apps | None |
| Set-up | An Odoo partner configures it, moves your data and trains the team | The developer designs and builds it with you |
| Changes | Odoo Studio for simple ones, developers for the rest | Built into the system you own |
| Upgrades | Custom modules may need work at each new Odoo version | On your schedule |
| As the team grows | Every new user adds a monthly fee | No per-user fees |
Odoo’s list prices depend on the country and the plan. In 2026, published figures put Standard at around USD 25 to 31 per user per month and Custom at around USD 37 to 61 in the US, with much lower rates in some countries, such as Saudi Arabia. Check odoo.com/pricing for your country.
Signs Odoo fits
- Your processes match how most companies in your sector work
- You need many back-office apps at once: accounting, inventory, purchasing, HR
- Your team is small and will stay small
- You have a good local Odoo partner
Signs a custom CRM fits
- Your sales process is specific, such as off-plan unit inventory, brokers’ commissions or field visits
- You need deep integration with WhatsApp, portals, your ERP or your own apps
- You have many users, so per-user fees would add up over the years
- You want to own the code, the data and the roadmap
Questions to ask before you decide
- Which of our workflows would we have to change to fit the software?
- What will it cost over three years, with our expected number of users?
- Who changes it when our process changes, and how fast?
- Can we export all our data if we leave?
